Process & Workflow Automation

We report savings in hours, not slides.

Manual back-office work rebuilt as reliable automations using n8n, Make, Zapier and custom AI steps.

Start with the process your team repeats every week.
Is this you?

Where is repetitive admin slowing the business down?

Choose the handoff that feels familiar.

High-impact approvals and unusual exceptions stay with authorised people.

Connect approved systems and move structured data automatically.

One request. A connected workflow.

See what one routine task can become.

Turn a repetitive request into a structured flow that captures the right data, applies the agreed rules and keeps approvals visible.

INTAKE

Capture the request once.

Collect the required fields and attachments in a consistent structure instead of rebuilding context across messages.

  • Required fields
  • Attachment check
  • Missing-information flag
Illustrative example. Final fields, rules and review points are agreed during discovery.

Illustrative only, not a client case study. Final scope and outputs are agreed in the proposal.

What you receive.

Select only the workflow modules required for the first automation path; additional systems and branches stay optional until the pilot proves value.

Workflow Automation (n8n / Make / Zapier): A documented workflow with triggers, rules, exception paths and named owners.

What changes

Connected. Traceable. Exception-ready.

Move repetitive work through one controlled workflow instead of manual copy-paste.

Choosing the right approach

Use the simplest workflow that reliably handles the exceptions.

Choose the approach based on workflow volume, system access, rule stability and how many exceptions still require human judgment.

How we deliver

From manual handoffs to a monitored workflow.

Responsibilities are explicit from request intake through system actions, human approvals and exception review.

  1. 01

    Map

Document triggers, inputs, approvals and common exceptions.

You confirm: the process owner and baseline.
  2. 02

    Connect

Build the scoped workflow and system connections.

You review: permissions and validation rules.
  3. 03

    Verify

Test normal runs, missing inputs and recovery paths.

You approve: exception handling before launch.
  4. 04

    Operate

Monitor runs and compare cycle time, rework and effort.

You decide: stabilise, revise or add another process.

Pilot timing is confirmed after scope, source readiness, access and reviewer availability are known.

What usually goes wrong

The team automates symptoms instead of the real bottleneck.

What we do

Map trigger, inputs, decisions, handoffs, exceptions and outputs.

Deliverable: Current-state workflow map.

Process map

Map trigger, inputs, decisions, handoffs, exceptions and outputs.

Deliverable: Current-state workflow map.
Baseline

Measure volume, cycle time, labour, errors and rework.

Deliverable: Before-state KPI baseline.
Inputs & rules

Define required data, validation, decision rules and exception cases.

Deliverable: Data and rules specification.
Build & integrate

Connect systems and implement the minimum reliable automated path.

Deliverable: Working pilot workflow.
Human approval

Insert review, edit, reject and escalation points where judgement is required.

Deliverable: Approval and permission model.
Exceptions & monitoring

Add alerts, retries, error logging and manual recovery.

Deliverable: Monitoring and exception dashboard.
Measure & scale

Compare results to baseline, fix weak points and only then add the next process.

Deliverable: Before/after report and scale backlog.
A focused first pilot

Start with one recurring process and its exceptions.

Agree the trigger, required fields, system owners, exception rules and baseline before automating the first workflow.

Test

One recurring workflow with clear inputs, an owner and a measurable baseline.

Measure

Hours saved · Cycle time · Error / rework rate

Record the starting point and review the agreed evidence before deciding the next step. Outcomes depend on the scope, inputs and adoption.

Human control

Automation handles repetition. People keep the authority.

Rules and AI handle the repeatable steps. Approval gates, exception queues and manual fallback stay visible so the process remains controllable.

Trigger → Process → Validate → Human approval / exception
  • Use least-privilege access for connected systems
  • Keep approval gates before high-impact actions
  • Log workflow runs, exceptions and changes
  • Provide manual fallback and recovery for failed automations
Practical questions

What we need before the automation pilot starts.

Which tools do you build on?

We select n8n, Make, Zapier or custom components based on the workflow and hosting needs. Account ownership, licences and handover are agreed before implementation.

What happens if our process changes?

We document the workflow, owners and dependencies. After handover, changes follow the agreed support arrangement; maintenance coverage and response times are confirmed separately.

Is our data safe in automations?

We agree hosting, access permissions, data handling and retention requirements before connecting systems. Logs, approval gates and recovery procedures are part of the scoped design.

What happens when a run fails?

The workflow uses agreed validation, alerts and retry rules. Exceptions go to a named owner, with a manual recovery path for work that cannot continue automatically.

What do we need to prepare?

A current process walkthrough · Examples of input files, forms and messages · Systems and access owners

Does this connect to our existing tools?

We review the current stack during discovery. Typical integration points can include n8n, Make, Zapier, Google Workspace, Microsoft 365, CRM. Access, permissions and technical feasibility are confirmed before implementation.
